Evaluating hotel linen suppliers and bed sheet exporters in India? What certificates to verify, realistic MOQs, AQL inspection questions, and how to spot a trading company posing as a mill.

Most hotel groups that switch to an Indian linen supplier do it for the same reason: the price per set is 20–40% lower than buying through a local distributor. Most of the ones that switch back do it for a different reason: the second shipment did not match the first. Choosing a supplier is really about choosing consistency. This checklist covers what to verify before you place a first order.

1. Verify certificates, not logos

Any website can show a certification logo. Ask for the certificate itself and check three things: the company name on the certificate matches the company on your proforma invoice, the certificate is in date, and the scope covers manufacturing of textiles, not just "trading".

2. Get MOQs in writing, per SKU

"Low MOQ" means nothing until it is a number per SKU. A SKU is one size in one colour in one construction, so a queen and a king in the same white percale are two SKUs. Realistic minimums from a genuine Indian mill look like this:

  • Bed sheets, duvet covers and custom/private label: 100 pieces per SKU
  • Pantone-matched private label programmes: 300 pieces per SKU
  • Quilts and comforters: 500 pieces per SKU
  • Pillowcases: 1,000 pieces per SKU

If a supplier quotes 50 pieces of anything with custom dyeing, they are almost certainly buying finished goods from someone else's stock.

3. Ask how quality is inspected

Ask what AQL level the pre-shipment inspection uses. AQL (Acceptable Quality Limit) is the sampling standard most hotel buyers and third-party inspectors use. AQL 2.5 is the common level for major defects in home textiles, and it is the standard we inspect to before every shipment.

Follow up with practical questions:

  • Who does the inspection: the factory's own QC team, or can you appoint a third party such as SGS, Intertek or Bureau Veritas?
  • Is shrinkage tested after a hotel-style wash, and what tolerance is accepted? For cotton percale, 3–5% is normal.
  • Is GSM checked per lot, and is the report shared with you?

A supplier who answers these in specifics is running a process. One who answers "100% quality checked" is not.

4. Trading company or real mill?

Trading companies are not bad by definition. Some add real value in consolidation. But you should know which one you are dealing with, because it changes who controls your fabric. Red flags:

  • They cannot share photos or video of their own looms, cutting or stitching lines.
  • Lead times change sharply depending on "availability".
  • The certificate is issued to a different company name.
  • They refuse a factory visit or a video walkthrough.
  • Every fabric is available in every thread count at every price.

5. Start with a paid sample, then a pilot order
